How do I verify my domain and sender in Flexmail?

Before you can send your first campaign through Flexmail, you need to complete two important steps:

  1. Validate your sender email address (Sender Validation)
  2. Authenticate your domain (Email Authentication)

These steps help email providers such as Gmail, Outlook, and Yahoo recognize your emails as trustworthy, improving deliverability and reducing the chances of your messages being marked as spam.

Step 1: Validate your sender email address

To use an email address as a sender:

  1. Log in to Flexmail.
  2. Go to Settings.
  3. Select Add or remove senders.
  4. Click Add a new sender.
  5. Enter the email address you want to use.
  6. Click Request approval.

Flexmail will send a verification email to that address. The owner of the email address must open the email and click Verify my email address. Once verified, the address can be used to send campaigns.


Step 2: Authenticate your domain (SPF, DKIM & DMARC)

After validating your sender address, you can authenticate your domain.

  1. Go to Settings.
  2. Select Add or remove senders.
  3. Next to your domain, click Set up authentication.
  4. Flexmail will generate the required DNS records for:
    • SPF
    • DKIM
    • DMARC

These records must be added to your domain's DNS zone.

What are SPF, DKIM, and DMARC records?

  • SPF: specifies which mail servers are authorized to send emails on behalf of your domain.
  • DKIM: adds a digital signature to your emails, allowing recipients to verify that the message has not been modified in transit.
  • DMARC: defines how email providers should handle messages that fail SPF or DKIM checks.

How do I add the DNS records?

If your domain's DNS is managed through Papaki, you can add the required DNS records from your domain's DNS Zone Management section. Read more here.

If you're unsure how to add the records, you can copy the information provided by Flexmail and contact your domain administrator or our support team for assistance.


When is the process completed?

After the DNS records have been added, it may take anywhere from a few hours up to 48 hours for DNS changes to fully propagate.

Once Flexmail detects the records successfully, your domain status will appear as active and you'll be able to send campaigns with improved deliverability and sender reputation.

Is domain authentication mandatory?
Technically, domain authentication is not always mandatory. However, it is strongly recommended to ensure the best possible email deliverability.


Can I use multiple sender addresses?
Yes. You can add and validate multiple sender email addresses within Flexmail.


What happens if I don't complete authentication?
Your email deliverability may be negatively affected, and your messages will have a higher chance of being filtered as spam.
